Privacy notice

This notice explains information handled by the ROOM website, demo inquiries and early-access workspaces. Public registration requires an email address, name, password and email verification. Live payment collection is not enabled.

Service operator

Kamau Baaqi operates ROOM, based in Detroit, Michigan, United States. The ROOM website is tryroom.app.

Information we use and why

Do not send passwords, API keys, government identification documents, payment card details or sensitive health information in an inquiry or booking note. The early-access service is intended for adults operating businesses.

Cookies and browser storage

ROOM uses sign-in cookies and a workspace-selection cookie for account access. Some actions use temporary browser storage to avoid accidentally repeating a request. Blocking this storage can prevent sign-in or affect these features.

Venue booking pages can measure steps such as viewing availability and confirming a booking. This uses a random per-tab visit identifier that expires after two hours and a hashed identifier in event records. A verified confirmation can be linked to a booking, so these records are not treated as fully anonymous. This measurement is skipped when the browser sends supported Do Not Track or Global Privacy Control signals. The public preview does not use advertising trackers.

Who receives information

ROOM uses Netlify for website hosting and Supabase for database and authentication services. Messages you send to hello@tryroom.app are handled through our Microsoft 365 mailbox, supplied through GoDaddy. These providers process information needed to deliver their services; they may process it in the United States or other locations where they operate.

Authorized staff of a venue can access information in that venue's workspace according to their permissions. We may access records to provide requested support, investigate security problems or operate the service. We may also disclose information when legally required or necessary to protect users and the service.

Stripe is the payment provider for payment features when activated; ROOM does not currently collect live card payments. If those features are enabled, Stripe handles card entry and ROOM stores payment references and transaction status. Automated messages use Resend for email and Twilio for optional text messages only when those providers are configured and the relevant feature is enabled.

How long we keep information

We keep inquiry correspondence while handling your request and any ongoing early-access relationship, and review it for removal when it is no longer needed. Workspace records remain available while needed to provide the service or resolve bookings, support issues and disputes. Some records may need to remain for legal, accounting or security purposes.

There is no automatic account-deletion timetable during the preview. Closure and deletion requests receive a manual review covering the relevant records, message history and connected services. Where deletion is appropriate, we remove or de-identify the active records; provider logs and any backup copies may remain until their normal expiry. We will explain material exceptions when responding to your request.

Your choices and requests

Email hello@tryroom.app to request access to, correction of, an export of, or deletion of your information, or to ask us to stop following up on an inquiry. Include the email address you used and, if relevant, the venue name and booking reference. Do not include identification documents. We may ask for limited additional information to verify that you are entitled to the records before releasing or changing them.

Workspace users can correct permitted information in the app and export booking and customer records where their access allows it. Where available, private customer-preference links let customers change marketing-email and text-message preferences. Turning off promotional messages does not erase booking records or necessarily stop essential booking communications.

Bookings with a venue

The venue determines why it collects information for its bookings and how it uses that information. Its own privacy notice also applies. Contact the venue about its records; you can also contact ROOM, and we will help route the request to the appropriate operator. We verify authorization before giving one person access to another person's or venue's records.

Updates

We will update the date on this page when this notice changes and communicate material changes to active pilots. We will update the notice before introducing materially different uses of information.
